Becoming Clinical Faculty
Clinical Faculty members are health professionals engaged primarily in the practice of their professions outside UBC, whose appointments have been recommended by Departments/ Schools and the FOM for the purpose of participating in academic activities and have been approved by the UBC Board of Governors. Teaching is the principal contribution of Clinical Faculty, academic administration and research are encouraged and recognized.
What do I expect as a Clinical Faculty Member?
The University of British Columbia (“UBC”) recognizes that Clinical Faculty members make significant contributions in the education of undergraduate, graduate and postgraduate learners, residents and fellows and are often engaged in research and academic administration at UBC. Health care education requires the active participation of learners in clinical settings. The health care professionals who supervise and educate FOM learners in these clinical settings normally require a Clinical Faculty appointment. Clinical Faculty members are health professionals engaged primarily in the practice of their professions outside UBC, whose appointments have been recommended by Departments/ Schools and the FOM for the purpose of participating in academic activities and have been approved by the UBC Board of Governors. While teaching is the principal contribution of Clinical Faculty, academic administration and research are encouraged and recognized.
Would I be compensated?
Clinical Faculty Appointments, Reappointments and Promotions are governed by the University of British Columbia, Faculty of Medicine Policy on Clinical Faculty Appointments. Depending on the terms of your employment contract, you may be eligible for compensation.

How do I apply for a new appointment?
Please forward your completed documents by the end of February for the spring committee meeting or before the end of August for the fall committee meeting to Carmen.kopp@ubc.ca

- Application Form
- Payment Instructions
- Copy of one of these documents: SIN card, SIN confirmation letter or CRA tax receipt showing SIN
- EFT Authorization Form
How can I get promoted?
Documents needed for promotions:
- UBC abbreviated CV
- Letter of recommendation from your site department head
- Teaching evaluations (please contact Carmen Kopp if you don’t have copies of your evaluations)

How often do Clinical Faculty Appointment, Reappointment and Promotion Committee meetings take place and when?
Clinical Faculty Appointment, Reappointment and Promotion Committee meetings take place twice a year.
- April/May – New appointments and reappointments
- October/November – New appointments and promotions
When is the deadline to submit my documents for my new appointment or my promotion?
The deadline to submit your documents for the April/May meeting is end of February.
The deadline to submit your documents for the October/November meeting is end of September.
When will my promotion be effective?
Your promotion will be effective as of July 1 the following year.
What happens with my application after the Committee Meeting?
You will get notified by the Clinical Faculty HR Advisor that your application has been reviewed by the committee. New appointments will be processed in workday and, you will be added to the Teaching & Tracking Payment system (TTPS).
Promotions will be forwarded to the Dean for final review. Once approved and processed you will get a letter from the Dean’s office after July 1 confirming your promotion.
What are the steps to apply for an academic license?
Please note: the estimated time frame to receive an academic license is 4-6 months or longer, depending if a work permit is required.
Hospital Department Head/Medical Director:
- Please forward email to Carmen Kopp, carmen.kopp@ubc.ca with the name of the candidate you are applying the academic license for. (Name of candidate, already in Canada or outside the country, work permit required?). The file will be created while you prepare step 2 and 3.
- Please ask candidate to complete the UBC Abbreviated CV
- Please prepare a letter of recommendation for the academic license and send to Carmen Kopp, together with the UBC abbreviated CV of candidate
These documents will be reviewed/voted by the Clinical Faculty Committee and forwarded to the Dean with an additional letter prepared by Dr. Leipsic. CPSCB will be notified by the Dean and candidate will be contacted by CPSCB about further steps.
Once all steps have been completed, candidate will be onboarded in Workday by the HR coordinator of our department and candidate will receive the necessary log-ons for Workday and for the Teaching and Tracking system.
